Privacy Policy

FleetOS ("FleetOS," "we," "us," or "our") is a Transport Management System (TMS) operated by Nomad Logistics Dispatch LLC. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform. Please read it carefully.

1. Information We Collect

Account & Profile Data

When you register or are invited to FleetOS, we collect your name, email address, phone number, role (admin, dispatcher, driver, carrier), and organization details.

Business Records

We store load records, carrier and driver profiles, truck and trailer details, rate confirmations, bills of lading, proof-of-delivery documents, invoices, and statements that you create or upload.

Uploaded Documents & Media

Files you upload (compliance documents, logos, chat attachments, avatars) are stored in Cloudflare R2 object storage, scoped to your organization.

Location Data

Drivers who grant permission transmit GPS coordinates through the mobile app for live-tracking purposes. Carriers and dispatchers view this data within their organization only.

Usage & Log Data

We collect server logs, IP addresses, browser type, and feature-usage telemetry to operate and improve the platform.

Payment Data

Billing and subscription payments are processed by Stripe. We store only Stripe customer and subscription identifiers — we never store full card numbers.

2. How We Use Your Information

  • Provide, maintain, and improve the FleetOS platform.
  • Authenticate users and enforce organization-level data isolation.
  • Send transactional emails (invites, password resets, document notifications, billing receipts).
  • Display live GPS tracking to authorized dispatchers and carrier operators.
  • Process subscription payments and manage billing through Stripe.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with applicable laws and legal obligations.

3. Data Sharing & Disclosure

We do not sell your personal information. We share data only in these circumstances:

  • Service Providers: Stripe (payments), Cloudflare R2 (file storage), Firebase (push notifications), and email delivery providers — each bound by data-processing agreements.
  • Within Your Organization: Admins and dispatchers in your organization can see records scoped to that organization. Cross-organization access is blocked by design.
  • Legal Requirements: We may disclose information if required by law, court order, or to protect the rights and safety of FleetOS, our users, or the public.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction with appropriate notice.

4. Data Retention

We retain your data for as long as your account is active or as needed to provide services. After account deletion:

  • Accounts are soft-deleted and retained for a grace period (default 90 days) before permanent removal.
  • Business records (loads, invoices, carriers) are preserved via anonymization (user references set to null) rather than deletion.
  • Uploaded files are removed from storage after the account is permanently purged.

5. Security

We implement industry-standard safeguards including JWT-based authentication with signed tokens, TLS encryption in transit, tenant isolation enforced server-side on every API request, and role-based access controls (super-admin, admin, dispatcher, driver). Despite these measures, no system is completely secure — we encourage strong passwords and prompt reporting of suspected incidents to support@fleetos.pro.

6. Cookies & Tracking

FleetOS uses session cookies and local storage to maintain authentication state. We do not use third-party advertising cookies or tracking pixels. Analytics, if any, are used solely for product improvement and are not shared with advertisers.

7. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal data. To exercise these rights, contact us at support@fleetos.pro. Organization admins may also manage user data directly within the platform settings.

8. Children's Privacy

FleetOS is a business platform not directed at children under 13. We do not knowingly collect personal information from anyone under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the effective date. Continued use of FleetOS after changes constitutes acceptance of the updated policy.
